Find and save prospects

Prospect Search finds companies, and the people who work at them, then finds and verifies their work emails as you save them to a list. This page covers every filter and setting, and what each result means.

Checked against magpiecrm@0.9.23 · Updated

Open Prospect Search from the sidebar. It has two tabs:

  • People (the default) searches for people by job title, seniority, industry, company size, country and keyword.
  • Browse companies searches for companies by keyword, industry, company size and HQ country. Choose Find people on a company to switch to the People tab with that company picked.

A company marked Can't verify emails accepts every address, so no email found there can be verified. If you search inside one, you're asked to confirm first.

Filters

On the Browse companies tab:

  • Keyword (required): matches company names and descriptions.
  • Industry: one, from the list.
  • Company size: any of 1-10, 11-50, 51-200, 201-500, 501-1000, 1001-5000, 5001-10000 and 10001+.
  • HQ country: one.

On the People tab:

  • Company: search inside one company. If its page lists no website, add the domain by hand so emails can be found.
  • Job titles: up to 5, with suggestions as you type. Each title runs as its own search.
  • Seniority: Owner, Founder, C-suite, Partner, VP, Head, Director, Manager, Senior, Entry or Intern, worked out from each person's title.
  • Industry: several, from the list. It's the industry of the company they work at.
  • Company size: the same sizes. It needs an industry or keyword alongside it, and isn't used while a company is picked.
  • Country: one. Pick it from the list for the fullest results. Self-hosted, countries outside the list are filtered after each page comes back, so pages can be short.
  • Keyword: any word, such as fintech.

Results and personas

Choose Results per page (25, 50, 75 or 100 for each title), then Search people. Each result shows the person's current title and company, checked against their profile.

  • Load more fetches the next page. If a page comes back empty because nobody matched, load more to keep looking.
  • Repeat a search with the same filters and it carries on from where the last one stopped, so you don't pay for the same people twice. Start from the top runs it from the beginning.
  • Include existing contacts is off by default: people already in your contacts are left out, and more are searched for to fill the page. Turn it on to see them, with the details you saved.

A persona describes an ideal customer. Create one under Personas, then choose Use in Prospect Search, or pick it from Apply persona in the filters. Its job titles and seniority carry over, and the country of its first location. Its industries, keywords, headcount and excluded titles don't carry over yet, so set those filters by hand.

Save to a list

  1. Tick the people you want, then choose Save N to list.
  2. Choose a list, or create a new one.
  3. Choose Find emails & save. A work email is found and verified for each person.

Saves of more than 10 people carry on in the background with a progress bar. You can choose Close (keeps running). Each row ends with an outcome:

  • Saved: a new contact, added to the list.
  • Already a contact, added to list: nothing new is looked up.
  • Opted out, not saved: see Opt-outs.
  • Company domain unknown: there was no website to find an email at.
  • No email found or Couldn't verify an email: they're left out.
  • Plan's email reveals used up: on Cloud, your prospect credits ran out partway.

Only name, title, seniority, company, domain, country and profile address are kept. Search results themselves are never stored.

Reveal and email statuses

To see one person's email without saving them, choose Reveal email on their row. The address appears with its status and a copy button. If you save them later, the result is reused.

StatusWhat it means
VerifiedThe mail server confirmed the mailbox exists.
Format confirmedThe domain accepts any address, but addresses you already have there use this format. It can still bounce.
Catch-allThe domain accepts any address; this is the most likely format.
RiskyThe mailbox may exist but could bounce.
UnverifiedA best guess, not checked with the mail server.
Not foundNo deliverable address was found.

By default only verified emails are handed over. Two settings in Settings, then Prospect search change what you see:

  • Hide people whose email can't be verified (recommended), on by default. On, they're left out of results and search keeps looking to fill the page. Off, they're listed and marked Unverifiable.
  • Hand over addresses whose format is confirmed. On, Reveal and saving also give Format confirmed addresses.

Self-hosted, Settings, then Email verification also has Only give verified emails (recommended). Turning it off hands over unconfirmed guesses too, with their status. See Email verification.

Unconfirmed addresses in campaigns

Addresses that aren't verified go out in a first batch of 50. The rest wait at least an hour for that batch's bounces, and aren't sent if more than 2% bounce, unless you choose to.

Credits on Cloud

On Magpie Cloud, searching and revealing use prospect credits, at £0.007 each:

  • Searching uses about 2 credits for each prospect found. A search uses what it actually cost, and filters leave out some of the people it pays for.
  • Each email you're given, from Reveal or from saving, uses 2 credits. That's a verified address, or a Format confirmed one if you allow them. If no address can be handed over, no credits are used for it.

When your credits run out, search and reveals pause until you upgrade or your next month starts. Sending carries on. Self-hosted, you pay SocialFetch directly: about 3 credits per search page plus 3 per result, since each profile is checked for their current job and company.

Opt-outs

Anyone can ask not to be contacted on the public opt-out page at /api/opt-out on your copy of MagpieCRM. They can opt out by work email, profile address, or name and company website. Any saved contact that matches is deleted, and only a one-way hash of what they entered is kept.

People who have opted out are left out of search, saves, imports and campaigns, unless they later sign themselves up, for example through one of your forms.

Telling the people you save where you got their details is up to you. You can link to your opt-out page when you do.
