Contributor Terms
MagpieCRM Cloud keeps a shared database of business contacts, so a person one customer has found and verified isn't bought and checked again by the next. This page says what your workspace sends to it, what we do with it, and how to switch it off.

Version 2026-10
1. What this is
1.1 The shared database (the "Database") holds business contacts that MagpieCRM Cloud customers found through prospect search and whose work email address was verified. When another customer's search finds the same person, their details can come from the Database rather than being bought and checked a second time.
1.2 These terms are part of our Terms of service. They apply to every MagpieCRM Cloud workspace while it contributes. Contributing is on unless you switch it off (section 3). Self-hosted MagpieCRM doesn't take part.
2. What your workspace contributes
2.1 Each contact you save from prospect search with a verified work email address. For each one we receive their name, job title, employer, the employer's website domain, country, professional profile address, the verified work email address, and the date it was verified.
2.2 Contacts you saved the same way before your workspace started contributing are sent too, except anyone who has unsubscribed from your emails, complained about them, or whose address has bounced.
2.3 Nothing else is sent. In particular, never:
- contacts you imported, added by hand, or who signed up through your forms;
- email addresses that were worked out but not verified;
- personal email addresses, such as Gmail or Outlook.com addresses;
- your lists, tags, notes or custom fields;
- anything about what you've sent anyone, or how they responded.
2.4 We don't tell other customers, or the person, which customer contributed a contact.
3. Switching it off
3.1 You can switch contributing off at any time in your workspace, under Settings → Prospect search → Shared database. From then on nothing new is sent.
3.2 What your workspace has already contributed stays in the Database. By then we hold it as its controller and have told the person about it (section 5).
3.3 You can switch it back on in the same place, which is agreeing to the version of these terms then in force.
4. Who is responsible for what
4.1 In your workspace, you are the controller of your contacts and we are your processor, as our data processing agreement says. That doesn't change, and your own copy of a contact is untouched.
4.2 When a contact is contributed, you pass us a copy and we become an independent controller of that copy. We decide how the Database is run and we answer to the people in it. You and we are not joint controllers. The data processing agreement doesn't cover the copy; our privacy policy does.
4.3 Passing us a copy is a disclosure by you as controller. You're responsible for it being lawful for you, including saying in the privacy information you give the people you contact that their business contact details may be shared with MagpieCRM. If you can't do that, switch contributing off.
4.4 You confirm that the contacts your workspace contributes were found through prospect search in MagpieCRM for business-to-business purposes, in line with our acceptable use policy, and weren't given to you by the person for some other purpose.
5. What we do with it
5.1 Before anyone can be shown a contributed person, we email that person a notice saying who we are, exactly what we hold, where it came from, why we hold it, who can see it, how long we keep it and what their rights are, with a link that removes them in one click. Nobody is shown the person until a day after their notice was sent. If the notice bounces, the record is deleted. If we haven't been able to send it within 21 days, the record is deleted.
5.2 We keep a record until 12 months after its email address was last verified. In its last month we check the address again with the employer's mail server, without sending an email. If it's still good the 12 months start again; if it isn't, the record is deleted.
5.3 People in the Database are shown only to MagpieCRM Cloud customers, through prospect search, to contact about business matters under our acceptable use policy. We don't sell the Database or give it to anyone else.
5.4 Names, email addresses and profile addresses in the Database are stored encrypted.
5.5 We may turn a contact away, or remove one, for any reason: for example because the person has opted out before, or the notice queue is full. We may pause or close the Database.
6. When someone asks to be removed
Anyone in the Database can remove themselves at any time. They are then deleted from it and added to the opt-out list that every MagpieCRM Cloud workspace shares, which is kept as keyed hashes rather than readable details. As with any opt-out on that list, a saved contact in your workspace that matches them is deleted, and they won't be shown to you in prospect search again.
7. What you get
7.1 When your prospect search finds someone the Database holds, their job title and employer come from it, and their verified email address can be given to you without being worked out and checked again.
7.2 While your workspace contributes, verified email addresses from the Database use none of your prospect credits, for up to 2,000 addresses a month. Past that number, or while contributing is switched off, each one uses a prospect credit as any verified email does. We may change that number and will tell you before we lower it.
7.3 We don't promise that the Database holds any particular person or number of people, or that every record in it is still correct.
8. No payment, and what stays yours
You aren't paid for what your workspace contributes, and we don't charge you for contributing. Your contacts stay yours. You give us the right to hold and use the contributed copy as these terms describe.
9. Changes
We may update these terms. We'll email you at least 30 days before a change that affects you materially takes effect, and you can switch contributing off before then. The version at the top shows which terms are in force.
